Connecting FormHouse to Zapier (step-by-step)

Zapier lets you send FormHouse submissions to 6,000+ apps — Google Sheets, Slack, HubSpot, Airtable, Mailchimp, and more. This guide walks you through every step, even if you've never used Zapier before. WHAT YOU'LL NEED • A published FormHouse form (at least one submission is helpful for testing) • A FormHouse account (Free or any paid plan) • A Zapier account (free at zapier.com — see below) ──────────────────────────────────── STEP 1: Get your FormHouse API key ──────────────────────────────────── 1. Sign in to FormHouse at www.formhouse.cc 2. Click "Settings" in the left sidebar 3. Scroll to the "API Keys" section 4. Click "Create new key" 5. Give it a name like "Zapier" so you remember what it's for 6. Copy the key — it starts with "fh_" and looks something like: fh_abc123def456... 7. Keep this key handy — you'll paste it into Zapier in a moment IMPORTANT: Your API key is like a password. Don't share it or put it in public places. You can delete it anytime from the same Settings page if you want to revoke access. ──────────────────────────────────── STEP 2: Sign up for Zapier (if you haven't already) ──────────────────────────────────── 1. Go to zapier.com in your browser 2. Click "Sign Up" in the top right 3. You can sign up with Google, Microsoft, or your email — pick whatever's easiest 4. Zapier has a free plan that lets you run 100 tasks per month — plenty for getting started 5. Once you're signed in, you'll see your Zapier dashboard ──────────────────────────────────── STEP 3: Create a new Zap ──────────────────────────────────── 1. In Zapier, click the big orange "Create a Zap" button (top left) 2. A "Zap" is just an automated connection between two apps — a trigger and an action 3. You'll see two boxes: "Trigger" (when something happens) and "Action" (do something about it) ──────────────────────────────────── STEP 4: Set up the FormHouse trigger ──────────────────────────────────── 1. In the Trigger box, click on the app selector 2. Search for "FormHouse" and click it 3. For the event, choose "New Submission" 4. Click Continue 5. You'll be asked to connect your FormHouse account: a. Click "Sign in" or "Connect a new account" b. A window pops up asking for your API key c. Paste the API key you copied in Step 1 (the one starting with "fh_") d. Click "Yes, continue" 6. Click Continue 7. Select the form you want to connect from the dropdown 8. Click Continue 9. Zapier will ask to test the trigger — click "Test trigger" 10. Zapier fetches your most recent submissions and shows you a sample 11. You'll see fields like: name, email, property_type, neighborhood, timeline, score, summary, createdAt, and any other answers your form collects 12. Click "Continue with selected record" GOOD TO KNOW: Multiple-choice answers (like "Property Type") show up as readable labels (e.g. "House", "Condo") — not as internal codes. This means your data is human-readable in whatever app you send it to. ──────────────────────────────────── STEP 5: Set up the action (where your data goes) ──────────────────────────────────── This is where you pick what happens with each new submission. Here are some popular choices: → GOOGLE SHEETS: Choose "Google Sheets" → "Create Spreadsheet Row". Connect your Google account, pick a spreadsheet and worksheet, then map each FormHouse field to a column. Type "/" in any column field to insert a FormHouse value. → SLACK: Choose "Slack" → "Send Channel Message". Connect your Slack workspace, pick a channel, and compose your message using FormHouse fields (type "/" to insert data like score or email). → HUBSPOT: Choose "HubSpot" → "Create Contact". Map FormHouse fields to HubSpot contact properties. → AIRTABLE: Choose "Airtable" → "Create Record". Pick your base and table, then map fields. → EMAIL: Choose "Email by Zapier" → "Send Email". Send yourself a notification for every new submission. After setting up your action: 1. Click Continue 2. Click "Test action" to send a real test row/message 3. Check that it arrived correctly in your destination app 4. If it looks good, click "Publish" to turn the Zap on ──────────────────────────────────── STEP 6: You're done! What happens next? ──────────────────────────────────── Your Zap is now live. Every time someone submits your FormHouse form: 1. FormHouse sends the submission data to Zapier instantly (within seconds) 2. Zapier runs your action — creates a row, sends a message, creates a contact, etc. 3. The data includes: all form answers, respondent email, AI score (if scoring is enabled), score rationale, summary, and timestamp You can see a log of every Zap run in Zapier's "Zap Runs" panel. If something fails, Zapier will show you the error and let you replay the run after fixing it. ──────────────────────────────────── TROUBLESHOOTING ──────────────────────────────────── • "No data in the trigger test" — Make sure your form has at least one submission. Submit the form yourself once to create test data. • "Fields show as opt_0 instead of labels" — This was fixed in the July 2026 update. If you still see raw codes, refresh your Zapier trigger by clicking "Retest" in the trigger step. • "Zap didn't fire" — Check that your Zap is turned ON (the toggle in the top right should be green). Also check Zapier's task usage — the free plan has a 100-task monthly limit. • "Wrong form selected" — You can change the form in the trigger settings at any time without recreating the Zap. • "API key not working" — Make sure you copied the full key including the "fh_" prefix. If you deleted the key in FormHouse settings, create a new one and reconnect in Zapier.
